1.1 A booking is considered confirmed once the Client submits the booking information and receives written or digital confirmation from Monarch Photobooth.
1.2 No deposit or upfront payment is required to secure a date.
1.3 Monarch Photobooth will hold the requested date and time exclusively for the Client once confirmation is issued.
1.4 It is the Client’s responsibility to ensure all event details provided are accurate (location, start time, setup access, etc.). Changes must be communicated immediately.
2.1 The service starts and ends strictly at the times agreed upon in the booking confirmation.
2.2 Setup and teardown time do not count toward the Client’s paid service duration.
2.3 If the event runs behind schedule, Monarch Photobooth is not required to extend service time unless availability permits.
2.4 Additional hours requested on-site may be provided depending on staff availability and will be charged based on the standard rate.
3.1 The Client must provide a space of approximately 8×8 feet for the booth, backdrops, and props.
3.2 A standard electrical outlet (110V) must be available within 10–15 feet of the setup location.
3.3 The setup area must be safe, level, and free from hazards or obstructions.
3.4 For outdoor events:
A fully covered area is required (tent, canopy, pavilion).
The equipment must be protected from rain, wind, and direct sunlight.
If conditions become unsafe, Monarch Photobooth may pause or stop service.
4.1 The Client is responsible for ensuring Monarch Photobooth staff have convenient access for loading and unloading equipment.
4.2 Any parking fees, valet charges, loading dock fees, or venue restrictions must be communicated beforehand and may be added to the final invoice.
4.3 If the venue has difficult access (stairs, long walking distances, elevators), additional setup time may be required.
5.1 No advance payment or deposit is required.
5.2 Payment is due on the event day, after the service has been fully completed, unless both parties agree to a different arrangement.
5.3 Accepted payment methods include:
Cash
E-transfer
Cheque
5.4 The Client agrees to make full payment at the end of the event or before the attendant leaves the venue.
6.1 The Client may cancel or reschedule their booking at no cost if done at least 7 days before the event.
6.2 Cancellations made within 7 days may affect future booking priority.
6.3 Monarch Photobooth reserves the right to cancel or reschedule due to:
Equipment failure
Staff emergencies
Unsafe weather conditions
Venue accessibility issues
Force majeure (Section 10)
6.4 If Monarch Photobooth cancels the event for any reason:
The Client will not be charged any fees.
The Client may reschedule at no cost based on availability.
7.1 The Client grants Monarch Photobooth permission to use photos and videos taken during the event for the following purposes:
Social media posts
Website galleries
Portfolio samples
Promotional materials
Advertisements
7.2 If the Client does NOT want their photos used, they must inform Monarch Photobooth in writing (email) at least 3 days before the event.
7.3 Monarch Photobooth will never sell Client images to third parties or use them for inappropriate content.
8.1 The Client is responsible for intentional damage, theft, or loss of equipment, props, or backdrops caused by guests or individuals at the event.
8.2 Accidental, minor damages caused by normal use will not be charged.
8.3 If any guest is behaving dangerously or engaging in misuse of equipment, Monarch Photobooth reserves the right to stop the service temporarily or permanently for safety reasons.
8.4 Children must be supervised around the equipment.
9.1 In the event of temporary technical difficulties (printer issues, lighting adjustments, software resets), Monarch Photobooth will work promptly to restore functionality.
9.2 If the booth is non-functional for more than 25% of the booked time due to equipment failure:
A partial discount or adjustment may be offered at Monarch Photobooth’s discretion.
9.3 If more than 50% of the booked time is functional, no refund or discount is required unless otherwise agreed.
9.4 If conditions at the venue prevent the booth from operating (no power, unsafe environment, inadequate space), no refund or discount will be provided
Neither party will be held liable for delays, cancellations, or failure to perform due to circumstances outside their control, including but not limited to:
Extreme weather
Natural disasters
Power outages
Venue shutdown
Government restrictions
Transportation issues
Illness or emergencies affecting staff
In such cases, both parties will make reasonable efforts to reschedule.
11.1 Monarch Photobooth is not responsible for:
Injuries resulting from misuse of props
Damages caused by guests
Venue restrictions preventing service
11.2 The Client agrees to ensure a safe environment for staff and equipment.
11.3 Monarch Photobooth is not liable for photo quality issues caused by extreme lighting conditions outside of their control.
These Terms and Conditions are governed by applicable provincial and federal laws in Canada.
Any disputes will be addressed in accordance with local legal standards and regulations.
By booking Monarch Photobooth, the Client acknowledges that they:

Understand the policies
Agree to comply with all conditions listed
Any modifications must be agreed upon in writing by both parties.
